My opinion: in precision measurement procurement, delivery certainty is worth the premium
I’m a procurement manager at a 260-person contract manufacturing company. I’ve managed our metrology and lab equipment budget—about $310,000 annually—for six years. I’ve negotiated with 40+ vendors and documented every order in our cost tracking system. So when I say the cheapest quote for precision measurement tools is usually the most expensive decision, I’m not theorizing. I’ve watched it happen.
In Q1 2024, we needed a starrett 6 inch digital caliper for a production line that was already behind. One distributor quoted $172, said the caliper was “in stock,” and gave a vague “ships when available” date. An authorized Starrett distributor quoted $189, confirmed a 10-day delivery, and included a calibration certificate. I chose the $189 quote. My controller asked why I’d paid $17 more. I asked him: what does one hour of downtime cost us? The answer was about $1,050. One shift is $8,400.
Look, I’m not saying budget options are always bad. I’m saying they’re riskier when the line is down. The $17 “savings” was a bet that nothing would go wrong. When you’re buying starrett tools, a CMM, or lab pipettes, that bet has terrible odds.

What most people don’t realize is that “in stock” often means in the distributor’s warehouse, not the manufacturer’s. And “ships when available” means your order goes into a queue behind larger customers. Why does this matter? Because precision measurement is not a commodity. A caliper that arrives late is not a caliper. It’s a bottleneck. A micrometer without a calibration certificate is not a measuring tool. It’s a liability. And a CMM that sits in crates because installation wasn’t included is not an inspection machine. It’s a very expensive table.
I now build a simple rule into our procurement policy: if a tool is on the critical path, we require a confirmed ship date, a calibration certificate, and a named support contact. If a vendor can’t provide those, their price is irrelevant.
Why Starrett tools hold value beyond the name
People think Starrett costs more because of the brand name. Actually, the causation runs the other way: Starrett earned the name because their tools hold tolerance after years of abuse in real shops. That’s what you’re paying for—not the logo, but the dimensional stability.
We have Starrett micrometers from the 1990s that still pass calibration. We also have cheap digital calipers that drift after six months of coolant exposure. The cheap ones cost $40. The Starrett costs $180. But the cheap ones get replaced three times a year, and each failure risks a bad measurement. When a bad measurement escapes to a customer, the cost isn’t $40. It’s a containment report, a rework, and sometimes a lost account.
That said, I don’t buy Starrett for everything. We buy consumables, pipette tips, and general lab supplies on price. But for calipers, micrometers, and indicators that inspectors use every day, we standardize on Starrett. It’s not romantic. It’s risk management.
Per FTC guidelines (ftc.gov), advertising claims must be truthful, not misleading, and substantiated with evidence. That applies to accuracy claims for measurement tools, too. If a vendor says “precision guaranteed,” ask for the calibration documentation behind that claim.
Here’s something vendors won’t tell you: the first quote is almost never the final price for ongoing relationships. There’s usually room to negotiate—especially on rush fees—once you’ve proven you’re a reliable customer. But you can’t negotiate if you’re desperate. And you’re desperate if you bought on unit price and missed the lead time.
The CMM machine price is only the beginning
If I remember correctly, a mid-range CMM machine price in 2024 ran somewhere between $45,000 and $80,000, depending on size, probe configuration, and software. But the sticker price is maybe 70% of the total cost. The rest is installation, calibration, training, environmental control, and fixtures.
In Q2 2024, we compared two CMM quotes. One was $52,000. It looked great—until we read the fine print. Installation was $7,000 extra. Calibration was $2,500. Training was $3,000. Lead time was 10 weeks, not guaranteed. Total: $64,500, with a high chance of a late start.
The other quote was $61,000. It included installation, calibration, training, and a guaranteed 6-week delivery. Total: $61,000. We chose the higher quote. It saved us $3,500 and four weeks of waiting.
Why does this matter? Because a CMM is not a toaster. You can’t just plug it in and expect accurate measurements. If the installation isn’t done right, the machine might sit idle for weeks while you argue with the vendor. If the calibration isn’t documented, your quality system auditor will write you up. The cmm machine price is just the entry fee. The real cost is the time it takes to make the machine useful.
What about the rest of the metrology kit?
New technicians sometimes ask me, “besides the multimeter what else is there?” It’s a fair question if you come from electrical work. The answer is: calipers, micrometers, dial indicators, depth gauges, height gauges, thread gauges, bore gauges, surface plates, and CMMs. Then there’s the lab side: pipettes, balances, pH meters, and spectrophotometers.
Each tool has its own failure mode. Calipers get dropped. Micrometers get overtightened. Dial indicators get magnetic swarf stuck to them. CMMs get crashed. Pipettes get contaminated. The procurement lesson is the same: for critical-path instruments, delivery certainty and service support matter more than the lowest unit price.
Lab equipment: cleaning an Eppendorf pipette
We have a small QC lab that uses Eppendorf pipettes for sample prep. If you’ve ever searched how to clean eppendorf pipette, you know there’s a lot of conflicting advice. The manufacturer’s manual is the sensible starting point: disassemble the lower part, clean with a mild detergent, rinse with distilled water, and let it air dry. Don’t autoclave parts that aren’t autoclavable. Don’t use harsh solvents on the seal.
But cleaning is only half the story. Pipettes need calibration, and calibration turnaround can kill a lab schedule. We used to send ours out for cleaning and calibration. I should add that we now do routine daily cleaning in-house to extend the interval between service. But we still pay for certified calibration with a guaranteed slot. The premium is small. The downside of a missed deadline is not.
Answering the obvious objection
“But you can’t pay a premium for everything.” Correct. I don’t. We buy pipette tips, gloves, and cleaning supplies on price. We don’t pay rush fees for office chairs. The key is to identify which items are on the critical path.
For us, critical path means: if this tool fails or arrives late, a customer shipment slips. That’s calipers on the shop floor, micrometers in inspection, the CMM in the quality lab, and pipettes in sample prep. For those, we budget for certainty. For everything else, we optimize for unit price.
The upside of saving $17 on a caliper is tiny. The risk is a line shutdown. I kept asking myself: is $17 worth potentially losing a $50,000 order? The expected value says no. The downside felt catastrophic. So we pay the premium.
What I do now
Looking back, I should have paid for guaranteed delivery on that 823B micrometer in 2022. At the time, standard shipping seemed safe. It wasn’t. If I could redo that decision, I’d pay the extra $60 for a confirmed date. But given what I knew then—nothing about the vendor’s queue—my choice was reasonable. Now I know better.
Our procurement policy now requires three things for any critical-path measurement tool:
- A confirmed ship date, not an estimate.
- A calibration certificate included in the price.
- A named support contact for warranty and service.
We also calculate TCO—total cost of ownership—not unit price. That means adding installation, calibration, training, consumables, and downtime risk. When you do that math, the cheapest quote often loses.
Reiterating my point
In precision measurement procurement, time certainty is not a luxury. It’s insurance. The cheapest quote is only cheapest if everything goes right. When the line is down, “probably on time” is the most expensive phrase in the shop.
So yes, pay for the Starrett caliper with the confirmed date. Pay for the CMM quote that includes installation and training. Pay for the pipette calibration with a guaranteed turnaround. It feels like a premium. It’s actually risk reduction.
And if you’re still wondering why I care so much about a $17 difference, remember: the $17 is visible. The $8,400 downtime is not. Procurement is about seeing the invisible costs before they hit your P&L.
